Outlook Not Syncing on iPhone?
Outlook for iPhone stuck on Updating or last synced hours ago after iOS 26 — Focus, Background App Refresh, Microsoft 365 sign-in, Mail.app vs Outlook, and when to rebuild the account.
Outlook not syncing on iPhone after iOS 26 / 26.6 is a token + Background App Refresh ticket, not a dead Exchange server. Desktop Outbox problems are a different guide — this page is the phone that still shows yesterday’s inbox.

Symptom map
| What you see | Likely cause | First move |
|---|---|---|
| Updating… forever | BAR off / Low Power / indexing | Power + BAR On |
| Inbox frozen, web is live | Stale refresh token | Sign out/in |
| Notifications late, pull-to-refresh works | Focus / notification categories | Allow Outlook in Focus |
| Mail OK, calendar empty | Calendar toggle / permissions | Outlook account → Calendar On |
| Works on Wi‑Fi, dies on cellular | Low Data Mode / per-app cellular | Enable Cellular Data for Outlook |
| New Outlook desktop fine, iPhone stale | Mobile app only | This article, not the Outbox one |
1. Prove Microsoft is up
Open office.com or outlook.office.com in Safari. If web mail is current, the account is fine. If Safari itself is crawling, wait out iOS 26.6 indexing and slow Safari before you rebuild Outlook.
VPN / company tunnel: test once off on trusted Wi‑Fi. Leftover MDM profiles after an OS bump can stall Microsoft’s modern auth.
Keep Low Power off. A USB-C PD hub overnight is how you prove the stall is not a yellow battery icon.
2. iOS 26 policy that looks like “Outlook is down”
Settings → General → Background App Refresh — On, and On for Outlook.
Settings → Apps → Outlook → Notifications — Lock Screen + Banners. Inside Outlook: Settings → Notifications → enable New mail / Mentions.
Focus / Sleep / Work — add Outlook as an allowed app, or disable Focus for a day. iOS 26 Focus filters hide banners and still show a badge; people call that “not syncing.”
Low Data Mode on the current Wi‑Fi pauses large folder sync. Same class of pause as iCloud Photos paused.
Date & Time → Set Automatically — a wrong clock after travel breaks Microsoft token refresh the same way it breaks WhatsApp.
3. Refresh the account without deleting mail
In the Outlook app:
- Force-quit Outlook
- Settings → Accounts → the work profile → Reset Account if the button exists
- Otherwise Sign out, then add the account again (work portal / Microsoft Authenticator as your org requires)
- Grant Calendar, Contacts, Notifications sheets again
Do not delete the mailbox on the server. You are only kicking the iOS client.
If you also use Apple Mail with the same Gmail/Exchange account, you now have two fetchers fighting Focus. Pick one daily driver — same advice as Gmail on iPhone.
4. Calendar, Teams, and attachments
- Empty calendar: Outlook → the account → enable Calendar; Settings → Outlook → Calendars On
- Teams meeting banners late: that is the Teams app’s notification policy, not Inbox sync
- Huge shared mailboxes: first sync after 26.6 can take hours on charge + Wi‑Fi — do not Reset Account every twenty minutes
- Attachments fail but body syncs: corporate DLP / Conditional Access, not iOS 26
Desktop still stuck in Outbox: Outlook not sending.
5. Offload is safe
Settings → General → iPhone Storage → Outlook → Offload App, then tap Outlook to restore the binary. Microsoft 365 mail is on the server. You will sign in again.
Full Delete is the same for mail; you only lose local search cache. Reinstall from the App Store, not a random IPA.
Do / Don’t
| Do | Don’t |
|---|---|
| Test office.com in Safari first | Wipe the iPhone for a stale token |
| BAR + Low Power off + Focus allowlist | Set Fetch to Manual in Mail.app and blame Outlook |
| Sign out/in the work account | Delete the Exchange mailbox |
| Offload after token loops | Install a third-party “Office repair” on iOS |
| Wait out 26.6 indexing | Reset Account every time Spotlight is busy |
Bottom line
Safari/web mail current → Background App Refresh → Focus/Low Power → sign out/in. Outlook on iPhone after iOS 26 is policy and a token. The desktop Outbox article is the wrong rabbit hole until office.com itself is stale.
Frequently Asked Questions
Outlook says Updating forever after iOS 26.6?
Usually Background App Refresh off, Low Power Mode, or an expired Microsoft 365 token. Force-quit, sign in again, then wait out Spotlight indexing if the whole phone is slow.
Mail.app gets mail, Outlook does not (or reverse)?
Two clients. Tune the one you actually open. Mail.app Fetch vs Outlook’s own push are different pipes — same as Gmail on iPhone.
Calendar missing but Inbox works?
Outlook calendar toggle or Focus hiding calendar alerts. Enable Calendar in the Outlook app account settings, then iOS Calendar permissions.
Will deleting the Outlook app delete work mail?
No — Exchange / Microsoft 365 mail lives on the server. You lose local cache, pinned focused inbox state, and some notification categories.
Desktop Outlook sends, iPhone does not sync new items?
Desktop send is a different article. On iPhone, prove Outlook.com / office.com in Safari first, then rebuild the mobile account.
